This guide explains how to ship a manual wheelchair with UPS or FedEx, starting with the finished package: protect the chair in a suitable carton, measure the outside of the closed box, and weigh the complete package. Enter those dimensions and the actual packed weight into both carriers’ quote tools, then compare the full price of services that meet the same delivery deadline.
It covers one battery-free manual wheelchair in a corrugated carton for U.S. domestic shipping, focusing on UPS Ground and FedEx Ground or Home Delivery. It is useful for a single-chair order, replacement unit, or distributor sample. International shipments and powered equipment need a separate review.
The chair’s seat width and product weight are not enough for a shipping quote. The carton, accessories, and protective packing affect both the billable weight and any size or handling charges.
1. Confirm the Wheelchair and Shipment Type

| Equipment | What to confirm before quoting |
|---|---|
| Manual wheelchair | Confirm that the shipment contains no batteries, power-assist units, or other powered accessories. Record the complete packed configuration. |
| Transport chair | Use the same package-measurement process when the chair and all accessories are battery-free. Weigh the actual carton. |
| Electric wheelchair or powered attachment | Confirm the exact equipment, battery details, service eligibility, and any dangerous-goods requirements directly with the carrier. |
A manual wheelchair is not automatically classified as a Large Package or Oversize shipment. Those charges depend on the finished package and the applicable carrier rules. Check the contents as well as the product name before choosing a shipping service.
2. Prepare the Chair and Measure the Finished Carton

- Check the manufacturer’s instructions. Fold the chair or remove components only as permitted for that model. Do not assume every wheelchair has removable wheels or footrests.
- List the included parts. Record cushions, footrests, wheels, and other accessories so the recipient can check the delivery.
- Choose suitable packaging. Use a sound, rigid corrugated carton rated for the complete packed weight, with appropriate cushioning and support.
- Secure the contents. Protect the frame and projecting parts, and secure loose components so they cannot move against the chair or carton. Photograph the packing arrangement before sealing the carton.
- Seal, measure, and weigh the carton. Include the chair, accessories, carton, and all packing materials in the final weight.
The UPS packaging guidance covers box strength, cushioning, sealing, and removal of old labels. A reused original carton still needs to be checked for damage and suitability.
Record the Outside Dimensions and Actual Weight

Measure the carton at its outermost points, including any bulges. For the current U.S. services covered here, round each fractional inch upward: 40.1 inches becomes 41 inches. Record the scale reading for the actual packed weight and follow the shipping tool’s weight-entry instructions.
- Length (L): the longest outside dimension.
- Width (W) and height (H): the other two outside dimensions; note which is the second-longest side.
- Actual packed weight: the chair, accessories, carton, cushioning, and all other contents.
- Length plus girth: L + (2 × W) + (2 × H).
- Cubic volume: L × W × H, using inches for the U.S. checks below.
Use the measurement instructions in the current UPS rate guides and FedEx Service Guide. Seat dimensions, folded-chair dimensions, and net product weight do not replace these package measurements.
3. Check Dimensional Weight, Parcel Limits and Extra Charges
How Dimensional Weight Works
Dimensional weight accounts for the space a package occupies. Calculate it as L × W × H ÷ the applicable divisor, then round the result upward to a whole pound. The published U.S. rate bases below use different divisors:
| Rate basis | Divisor with inches and pounds |
|---|---|
| UPS Daily Rates | 139 |
| UPS Retail Rates, domestic packages | 166 |
| FedEx U.S. package services | 139 |
Confirm the rate basis and any account-specific terms in your quote. The carrier generally compares rounded actual weight with dimensional weight, then applies any relevant minimum billable weight. Enter actual packed weight and dimensions into the quote tool; let the carrier calculate billable weight.
Check Service Limits Separately from Surcharges
For the ordinary ground services covered here, the published package limits are 150 lb actual weight, 108 inches in length, and 165 inches in length plus girth. Confirm eligibility with UPS, FedEx Ground, or FedEx Home Delivery for your shipment. A package can be within these limits and still incur extra charges.
The following numeric checks apply to these U.S. ground-package services under the published rules reviewed on October 20, 2026. Packaging conditions can also trigger additional handling.
| Check | Published trigger or minimum |
|---|---|
| Additional Handling: dimensions | Any of: longest side over 48 in; second-longest side over 30 in; length plus girth over 105 in; cubic volume over 10,368 in³. |
| Additional Handling: actual weight | Over 50 lb. |
| UPS Large Package / FedEx Oversize | Any of: longest side over 96 in; length plus girth over 130 in; cubic volume over 17,280 in³; actual weight over 110 lb. |
| Minimum billable weights | 40 lb for dimension-based Additional Handling; 90 lb for Large Package / Oversize under these ordinary U.S. ground services. |
Sources: the UPS rate and service guides and 2026 FedEx Service Guide. Use the carrier’s quote breakdown to apply charge-combination rules; do not simply add every possible surcharge together.
Example: A 45 lb Carton Can Have a Much Higher Billable Weight
Suppose a fully packed carton measures 40 × 32 × 14 inches and weighs 45 lb. These are illustrative figures, not a recommended box size or a live shipping quote.
- Volume: 40 × 32 × 14 = 17,920 in³.
- Length plus girth: 40 + (2 × 32) + (2 × 14) = 132 inches.
- With a 139 divisor: 17,920 ÷ 139 rounds up to 129 lb.
- With a 166 divisor: 17,920 ÷ 166 rounds up to 108 lb.
This example exceeds both the 130-inch length-plus-girth trigger and the 17,280 in³ volume trigger for Large Package / Oversize. Its dimensional weights also exceed the 90 lb minimum. The actual 45 lb weight alone would therefore give a misleading basis for comparing prices.
A lower calculated dimensional weight does not establish which carrier is cheaper: rate tables, discounts, and applicable charges still matter. Choose a carton that fits the chair and required protection; do not remove necessary cushioning just to reduce the quoted size.
4. Compare UPS and FedEx Using the Same Shipment Details

Start with UPS Ground and the appropriate FedEx ground service: FedEx Ground for a business address or FedEx Home Delivery for a residence. If you need faster delivery, compare services that meet the same deadline and check their separate limits.
| Comparison field | Use the same confirmed information |
|---|---|
| Route and shipping date | Origin ZIP code, destination ZIP code, and intended shipment date. |
| Package | Outside length, width, height, actual packed weight, and carton count. |
| Delivery requirement | Required arrival date and the service being quoted. |
| Destination | Residential or commercial classification; record receiving-access arrangements separately. |
| Value and signature | Declared value and any required signature service. |
| Handoff and packing | Pickup or drop-off, plus any separate packaging or packing-service charges. |
| Price basis | The retail or account rate actually available to you, with applicable discounts and fees. |
Compare the full quoted total, including applicable fuel, residential, delivery-area, handling, large-package or oversize, pickup, and demand surcharges. Check the actual shipping date against the UPS rate updates and FedEx demand-surcharge schedule. Save the quote details so you can review any later adjustment against the package information submitted.
Declared Value Is Different from Insurance
Declaring a value does not purchase shipping insurance or guarantee reimbursement of that amount. Review the UPS liability terms and FedEx declared-value explanation, including their conditions and limits. Review any separate insurance policy on its own terms.
5. Confirm the Shipment Before Buying a Label

- The chair and every included accessory are confirmed as battery-free.
- The carton, contents, and protective packing match what was measured and weighed.
- The chosen service accepts the package, including its size, weight, and packaging.
- The quote uses the correct shipping date, ZIP codes, address type, and delivery requirement.
- Pickup or drop-off arrangements, declared value, signature options, and quoted fees are checked.
- The recipient’s contact details, expected carton count, and delivery arrangements are confirmed.
After booking, send the recipient the tracking number and delivery details.
If the shipment contains a battery, powered attachment, or electric wheelchair, confirm its shipping requirements directly with the carrier before booking. If the packed chair exceeds the selected parcel service’s limits, ask about an appropriate packing or freight option. Remeasure and requote whenever the package changes.
What to Request from a Wheelchair Supplier
For a sample, replacement unit, or single-chair order, request package data for the exact model and accessory configuration. A product specification sheet may show only the chair’s dimensions and net weight.
Please confirm the exact model and included accessories, final one-chair carton dimensions (L × W × H), gross packed weight, carton count, dispatch location, and packing method. Please also confirm whether the shipment includes any batteries or powered accessories.
Ask whether those figures describe the finished package or an estimate. If a supplier is shipping from outside the United States, request a quote for the full international route rather than applying these domestic ground-service rules to the entire journey.
How to Ship a Manual Wheelchair: Common Questions
Is UPS or FedEx Cheaper for Shipping a Wheelchair?
There is no reliable winner without the package details, route, shipping date, and available rates. Compare the full quotes for services meeting your delivery requirement. A low base rate can be outweighed by handling, size, or other applicable charges.
Can I Quote Using the Folded Wheelchair Dimensions?
Use folded dimensions only to plan the packing. Quote the finished outside carton dimensions and actual packed weight. If packaging is not yet complete, treat the first quote as an estimate and recalculate after packing.
Can I Ship the Chair Without a Carton?
This guide assumes a fully enclosed corrugated carton. An unboxed, wrapped-only, crated, or palletized chair needs a separate packaging and service review. Ask the carrier or a qualified packing provider which option is appropriate, including any packaging-related charges.
